How to Reduce Cabinet Warranty Claims as a Kitchen Designer

How to Reduce Cabinet Warranty Claims as a Kitchen Designer

Cabinet warranty claims are one of the more frustrating parts of this industry.

They slow down projects, create rework costs, and put your client relationship under strain. Some claims are legitimate mistakes on our end as a manufacturer. But many are preventable with better order entry habits and clearer client conversations before the order goes in.

At Decor Cabinet Company, we work with kitchen designers across North America every day. Two areas where designers can work to prevent warranty claims are: ordering errors and client expectations that weren’t set clearly before the order went in. This article covers both, with practical steps you can take on your next project.

Here are the key points:

  1. Two areas designers can prevent warranty claims are ordering improvement and client clarity.
  2. Send your drawings to the manufacturer before the order is finalized so we can catch missing parts or conflicts early.
  3. Learn the ordering system to help you order accurately and avoid mistakes.
  4. Add clear notes any time your design falls outside standard parameters.
  5. Review material policy with your client before they choose a wood species or stain.

Cabinet Order Entry Tips for Kitchen Designers

Getting the order right before it goes to production is where you have the most control. Here’s what makes a real difference.

Send your drawings before the order is finalized. Floor plans, elevations, and cabinet drawings give our team the context to review your order, catch missing parts, and flag anything that doesn’t line up before production starts. Think of it as a second set of eyes before anything gets cut.

Learn the ordering system. The more familiar you are with how our product catalog and ordering system work, the fewer errors make it through. Decor Academy offers courses and training specifically designed to help designers understand our system, product limitations, and how to order accurately and efficiently. If you haven’t explored those resources, it’s worth the time.

Add notes when you’re working outside standard parameters. If your design requires a modification or something that doesn’t fit a standard line item, write it out clearly. Don’t assume it will be interpreted correctly. A brief, specific note protects the order and saves everyone time.

How Wood Cabinet Material Policies Affect Client Expectations

This is one of the most common sources of warranty conversations, and it’s almost always avoidable.

As a kitchen designer, one of the most important conversations you can have with your client is about wood characteristics before the order goes in. A sample is small. It shows one piece of wood, one section of grain, one moment in a material that naturally varies across every door, drawer front, and panel.

Wood is a natural product. Grain patterns shift. Color varies. For example, white oak will have some variation in color from tree to tree. Our partner Columbia Forest Products states that white oak heartwood color is light brown to light gray to medium brown.Walnut will have some variation in grain and color from door to door.

These are characteristics of the material, not defects. This is what makes wood, wood. The noticeable natural variation says to buyers “this is real, not fake wood”. Even the best grades of wood will have variation from the one sample you have in the showroom.

Decor has a detailed Wood Characteristics and Finishing policy that covers exactly what to expect from each species we offer, including acceptable characteristics by finish type. Reviewing this with your client before they commit to a species or stain colour is one of the best things you can do to protect the project.

When clients understand what natural materials do, they’re far less likely to be surprised when the cabinets arrive.

Reducing Cabinet Warranty Claims Benefits Everyone

Better ordering habits and clear client conversations upfront don’t just reduce warranty claims. They make your projects run more smoothly, protect your margins, and build the kind of trust that keeps clients coming back.
